FULL-TIME PERMANENT ASSISTANT DIRECTOR – CINEMA TROPICAL
New York-based Cinema Tropical — a 501(c)(3) non-profit media arts organization dedicated to the programming, promotion, and distribution of Latin American cinema in the United States — is seeking an Assistant Director to begin late summer 2019.
The Assistant Director provides critical support to the Executive Director and helps ensure the smooth day-to-day operation of a multi-platform media arts organization notable as a prominent leader in its field.
This position is responsible for ensuring the efficiency and coordination of day-to-day internal processes. The ideal candidate is self-motivated and organized with an ability to multitask and prioritize while maintaining attention to detail. The Assistant Director should also be capable of creating and meeting deadlines with minimal supervision and have strong interpersonal skills, with the ability to manage fast-paced communication, both verbal and written. It is equally imperative that the person in this position exercise professional discretion at all times. A great opportunity for a recent graduate (preferably MA) with previous internship experience or a few years of work experience.

- Manage office calendar: schedule meetings both internally and externally, schedule conference calls, coordinate interns’ schedules.
- Communicate on behalf of the Executive Director internally and at times externally to colleagues, partners, and other members of the public.
- Coordinate publicity strategies alongside Executive Director for new film releases, including drafting press releases, copyediting various public-facing press materials, monitoring press requests, managing the distribution of screeners, press notes, and other press material, and coordinating interviews with local and international filmmakers.
- Prepare materials for meetings, CT’s public programs, and press screenings as needed.
- Work with CT’s Director of Development and Special Projects to coordinate partnership events, fundraising events, and collaborative projects, often corresponding with CT’s recurring screening series partners.
- Serve as point-person for various CT public programs, events, or screenings.
- Work with CT’s Director of Development and Special Projects to coordinate high-profile receptions on the occasion of particular film releases.
- Manage RSVPs for CT’s special events, receptions, and press screenings, plus field inquiries to CT’s general email line.
- Manage the bookings of films for which CT holds screening rights; manage requests for material from CT’s offsite film archive.
- Coordinate the shipment of screening materials including DCPs from/to Central and South American and continental United States.
- Manage the recruitment, on-boarding, and management of CT’s semester-based interns.
- Oversee the production of CT’s weekly New York and Los Angeles newsletters, as well as the production of visual materials/social media content by CT interns.
- Research prospective partners and/or local non-profits for community outreach initiative; oversee and/or manage promotional community outreach initiatives.
- Keep up-to-date records of funding opportunities/grant deadlines; draft/copyedit grant proposals and applications.
- Oversee general office management, including the purchasing of supplies.
- B.A. or M.A. degree in Film Studies, Latin American Studies, Arts Administration or other related field.
- Highly organized and motivated team player with an interest in Latin American film and/or film programming.
- Excellent organizational, written, and verbal communication skills; commitment to accuracy and detail.
- Strong time management skills; comfort juggling multiple projects and prioritizing workload.
- Strong interpersonal skills, discretion, ability to exercise judgment with executive-level industry personnel.
- Familiarity with New York’s arts and culture landscape and/or New York’s community-based non-profit sector a plus.
- Proficiency in Spanish or Portuguese required.
- Computer and digital media literacy.
- Ability to work evenings on occasion.
